Function Summary:
The Spa Receptionist serves as the first point of contact for spa guests, ensuring a welcoming and professional experience. Responsible for managing appointments, handling inquiries, and maintaining smooth front-desk operations, the Spa Receptionist provides excellent customer service while supporting the overall functionality of the spa. This role involves administrative duties, promoting spa services, and ensuring a clean and organized reception area, all while adhering to company standards and maintaining confidentiality
Duties and Responsibilities:
- Welcome guests warmly and professionally upon their arrival at the spa.
- Manage appointment bookings, rescheduling, and cancellations efficiently.
- Answer phone calls and respond to emails to address inquiries about spa services.
- Provide detailed information about spa treatments, packages, and promotions.
- Check guests in and out, ensuring a seamless and pleasant experience.
- Process payments using cash, credit cards, or other payment methods.
- Maintain accurate records of client appointments and preferences.
- Ensure the reception area is clean, organized, and stocked with brochures and information.
- Coordinate with spa therapists to ensure smooth appointment flow.
- Promote and upsell spa services, memberships, and retail products to clients.
- Handle guest feedback and complaints professionally, resolving issues or escalating as needed.
- Monitor inventory levels for retail products and coordinate restocking with management.
- Confirm appointments with clients via calls or messages as per spa policy.
- Maintain confidentiality of guest information and ensure data privacy.
- Assist with administrative tasks, such as filing, updating databases, and preparing reports.
- Keep track of spa promotions and special offers, ensuring guests are informed..
- Follow health and safety guidelines to ensure the spa environment is safe for guests and staff.
- Participate in team meetings and training sessions to improve knowledge of spa services and procedures.
General Responsibilities:
- To attend any meeting or training sessions as required by management.
- To be conversant with:
a) The Hotel fire procedures
b) The Hotel security procedures
c) The Hotel facilities and attractions
d) The Hotel Health and Safety Policy and Procedures
e) Hotel operation standards and departmental procedures
f) Methods of payment accepted by the Company (cash handling staff only)
g) Current Licensing regulations (Food and Beverage Service department only) - To adhere to the company's policies and procedures for quality, environment and food safety.
Qualifications:
High school graduate or equivalent/Hotel & Catering Diploma is a plus
- 3+ years' experience in the same position or any similar serving experience in Hospitality Industry, ex: Receptionist
- Excellent Knowledge of English language
- Excellent Communication skills
- Knowledge of Hotel Software/PMS is a plus
- Ability to obtain and maintain a food handler certification
